WD Swim runs swim schools in Markham, Richmond Hill and North York, Ontario. This policy explains how we handle personal information collected through wdswimming.com. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

When you fill in a form on this website (free trial request, adult class booking, refer-a-friend or franchise enquiry), we collect what you enter. Depending on the form, this can include:

• ✓ Parent or guardian name, phone number and email address
• ✓ Swimmer name and age, preferred pool, class and time
• ✓ How you heard about us, and any message you send
• ✓ For referrals, the details of the friend you refer
• ✓ For franchise enquiries, your preferred market, timeline and background

We also collect some information automatically when you visit, such as your device and browser type, the pages you view, the website that sent you here, and advertising details like campaign tags (UTM parameters) and ad click IDs. This is collected with cookies and similar technologies, described below.

How we use your information

Cookies, analytics and advertising

This website uses the following tools, which may set cookies or collect information about your visit:

• ✓ Google Tag Manager and Google Analytics, to measure how the website is used
• ✓ Google Ads, to measure which ads lead to enquiries
• ✓ Meta (Facebook and Instagram) Pixel, to measure and improve our ads on Meta
• ✓ OpenAI ads measurement, to measure ads shown in ChatGPT
• ✓ A small script that keeps campaign tags (UTM parameters) as you move between pages, so we know which campaign brought you here

You can block or delete cookies in your browser settings. You can also manage ad personalisation in your Google account (adssettings.google.com) and in Meta's ad preferences, or install the Google Analytics opt-out browser add-on. Blocking cookies won't stop the website from working.

Who we share it with

We share information only with service providers that help us run our business and this website, and only as much as they need. These include our website host, our email provider (Google Workspace), our registration and payment system (iClassPro), and the analytics and advertising partners listed above. We may also disclose information if the law requires it.

Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law.

Children

Our forms are meant to be filled in by parents, guardians or adult swimmers. We collect information about children only from their parent or guardian.

How long we keep it

We keep enquiry information only as long as we need it for the purposes above, or as required for legal and accounting reasons, and then delete it.

How we protect it

We use reasonable safeguards to protect your information, including secure (HTTPS) connections and restricting access to staff who need it.

Your choices

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to us using it (this may affect our ability to serve you). Email info.mh@wdswimming.com to make a request. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

Registration and payments

Class registration and payments are handled in our parent portal (iClassPro), which has its own privacy policy.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
